What is in my school file? Am I allowed to see it?

Every UFT member has an official file at school that contains the administration’s observation reports, annual evaluation sheets, licensing and salary documents, and other materials. Before anything is placed in your file, you must have the opportunity to see it and sign the original copy. Your signature does not mean that you agree or disagree with its contents, only that you have seen the item. You can, at any time, write a response to any derogatory material in your file and have it attached to the original copy.

There is only one official file maintained in your school; if you transfer to a new school, this official file (but not any private notes that your supervisor may keep) will follow you there.

Yes, you are allowed to see it. You have the right to examine your official file and should do so once a year to learn what’s in it and to have any old or inappropriate materials removed. This is a good time to have a look at your file and do some spring cleaning.

To view your official file, just notify your principal and make an appointment. It’s a good idea to have either your chapter leader or a trusted colleague with you when you look at your file. Under Article 21A of the teacher’s contract, you have the right to — and should — ask to have any item removed that is over 3 years old and has not been used in any disciplinary proceeding. (Your chapter leader can help you with this request.) In addition, you have the right to photocopy any materials in your file.
